Lawful bases and data protection rights

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.

Which lawful basis we rely on may affect your data protection rights which are set out in brief below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:

If you make a request, we must respond to you without undue delay and in any event within one month.

To make a data protection rights request, please contact us using the contact details at the top of this privacy notice.

Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information for dealing with queries, complaints or claims are:

  • Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
  • We use your name, contact details and the content of your message so we can receive, understand and respond to your enquiry, support request or complaint. This benefits you directly, because it lets us reply and resolve the issue you contacted us about, and it benefits us by helping us run our business and maintain good relationships with the people who contact us. We only use the information you choose to give us, we use it solely to deal with your enquiry, and we do not use it for unrelated purposes. Because we collect only what is needed and use it in the way you would reasonably expect when contacting us, the benefit outweighs the limited impact on your privacy and your interests are not overridden. You can object to this use at any time.

For more information on our use of legitimate interests as a lawful basis you can contact us using the contact details set out above.

Our lawful bases for collecting or using personal information for keeping our website secure and running reliably, and to prevent, detect and investigate misuse or abuse are:

  • Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
  • We collect IP addresses and technical server log data (such as the pages requested, timestamps and browser information) to keep our website secure, monitor that it is working correctly, and detect, investigate and prevent misuse, abuse and malicious activity — including blocking IP addresses associated with attacks or abuse. This benefits everyone who uses our website by protecting the site, and visitors' information, from disruption and unauthorised access, and benefits us by keeping our service reliable. The information involved is limited technical data, retained only for a short period (access logs for 90 days, and a list of blocked IP addresses only for as long as needed to keep them blocked, reviewed annually). It is not used to build profiles of individuals or for marketing. Given its minimal, security-focused nature and short retention, the benefit clearly outweighs the limited impact on individuals, whose interests are not overridden

For more information on our use of legitimate interests as a lawful basis you can contact us using the contact details set out above.

Where we get personal information from

  • Directly from you
  • Automatically from your device or browser when you visit our website — for example, your IP address and technical server log data.

How long we keep information

We keep the personal information you send us through our contact form (your name, email address and message) only for as long as we need it to deal with your enquiry and any related follow-up. Once it is no longer needed, we delete it.

For the security of our website, we keep our server access logs, which include IP addresses, for up to 90 days, after which they are deleted. Where we identify an IP address associated with abuse or malicious activity, we may keep that address on a block list for as long as necessary to protect our website, and we review this list at least once a year.

We do not keep personal information for longer than necessary, and we securely delete it when it is no longer required.
