Lawful bases and data protection rights
Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.
Which lawful basis we rely on may affect your data protection rights which are set out in brief below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:
- Your right of access - You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. There are some exemptions which means you may not receive all the information you ask for. Read more about the right of access.

To make a data protection rights request, please contact us using the contact details at the top of this privacy notice.
Our lawful bases for the collection and use of your data
Our lawful bases for collecting or using personal information to provide and improve products and services for clients are:
- Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
- Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
- We use limited usage and account information to understand how merchants use Alt Text Pro and to monitor, maintain and improve it — for example measuring which features are used and diagnosing problems. This benefits you by helping us keep the app reliable and make it better, and benefits us by helping us run and develop our business. We use shop-level data (identified by your store domain, not individuals), we do not use it to build profiles of people or for advertising, and we minimise what we send to our analytics provider. Given the limited, shop-level nature of this processing, the benefit outweighs the limited impact on you and your interests are not overridden. You can object at any time.
For more information on our use of legitimate interests as a lawful basis you can contact us using the contact details set out above.

Our lawful bases for collecting or using personal information to comply with legal requirements are:
- Legal obligation – we have to collect or use your information so we can comply with the law. All of your data protection rights may apply, except the right to erasure, the right to object and the right to data portability.

- We collect IP addresses and technical server log data (such as pages requested, timestamps and browser information) to keep the app secure, monitor that it is working correctly, and detect, investigate and prevent misuse, abuse and malicious activity — including blocking IP addresses associated with attacks or abuse. This benefits everyone who uses the app by protecting it and its data from disruption and unauthorised access, and benefits us by keeping the service reliable. The information involved is limited technical data, retained only for a short period (access logs up to 90 days, and blocked IP addresses only for as long as needed, reviewed annually). It is not used to build profiles of individuals or for marketing. Given its minimal, security-focused nature and short retention, the benefit clearly outweighs the limited impact on individuals, whose interests are not overridden.
For more information on our use of legitimate interests as a lawful basis you can contact us using the contact details set out above.
Where we get personal information from
- Directly from you
- From Shopify (the platform your store runs on), via its APIs — your store identifier, product catalogue data and subscription information — when you install and use the app.
- Automatically from your device or browser when you use the app — for example your IP address and server log data.
How long we keep information
We keep the information associated with your shop — including your account and subscription details, app settings, and the record of alt-text changes we make — for as long as the app is installed, so that we can provide and support it. When you uninstall the app, we delete your shop's data: Shopify sends us a shop redaction request approximately 48 hours after uninstall, at which point we remove your shop's information from our systems.
For the security of the app, we keep our server access logs, which include IP addresses, for up to 90 days, after which they are deleted. Where we identify an IP address associated with abuse or malicious activity, we may keep that address on a block list for as long as necessary to protect the app, and we review this list at least once a year.
We do not keep personal information for longer than necessary, and we securely delete it when it is no longer required.
